The Opportunity


We are seeking an organised and detail-oriented EHS Compliance & Onboarding Administrator to join our Environmental, Health & Safety function in Germany.
This role will provide essential administrative and coordination support across EHS activities, with particular responsibility for employee, agency worker and contractor onboarding, compliance tracking, training records, document control and audit support.
The successful candidate will play an important role in maintaining accurate compliance records and ensuring that training, certification and onboarding requirements are completed and kept up to date. Key Responsibilities


  • Coordinate EHS onboarding and offboarding activities for employees, agency workers and approved contractors.

  • Maintain accurate onboarding records, training documentation, certification registers and compliance trackers.

  • Monitor training and certification expiry dates and issue timely reminders to relevant personnel.

  • Escalate outstanding or overdue compliance actions where required.

  • Maintain EHS databases, systems and electronic records.

  • Produce regular reports covering onboarding, training, certification and compliance performance.

  • Support EHS document control, including version control, document distribution and controlled record management.

  • Ensure EHS documentation is accurately filed, accessible and maintained in accordance with company procedures.

  • Coordinate training bookings, attendance records and training matrices.

  • Support internal and external audits by coordinating documentation and gathering evidence.

  • Organise EHS meetings, prepare supporting documentation and maintain action logs.

  • Follow up outstanding actions and ensure records are updated accordingly.

  • Liaise with employees, contractors, project teams, HR and EHS personnel to resolve administrative and compliance queries.

  • Support the implementation of EHS procedures and administrative processes across corporate and project environments.

  • Identify opportunities to improve onboarding, compliance monitoring and document management processes.

  • Contribute to continuous improvement initiatives within the wider EHS function.

About You

Essential


  • Previous experience in administration, compliance, onboarding, document control or a similar support position.

  • Excellent organisational skills with strong attention to detail and accuracy.

  • Experience maintaining records, registers, databases and controlled documentation.

  • Strong Microsoft Office skills, particularly Excel, Word, Outlook, SharePoint and Teams.

  • Ability to manage multiple tasks, deadlines and stakeholders effectively.

  • Strong written and verbal communication skills.

  • Ability to work independently while also contributing effectively within a wider team.

  • A professional approach to handling confidential and sensitive information.

  • Strong problem-solving and administrative coordination skills.

Desirable


  • Previous experience within EHS, construction, engineering or project-based environments.

  • Understanding of ISO 14001 and ISO 45001 management systems.

  • Experience supporting internal or external audits.

  • Experience coordinating contractor or employee onboarding.

  • Familiarity with EHS, HR, training or document management systems.

  • Experience maintaining training matrices and certification registers.

  • Relevant qualification in Business Administration, Document Control, EHS, Compliance or a related discipline.

  • Professional working proficiency in German and English.
