An exciting opportunity has arisen for an organised and proactive Depot Administrator to join a busy operational team based in York.

This role is ideal for an experienced administrator who enjoys working in a fast-paced environment, providing essential administrative and reception support to ensure the smooth day-to-day operation of the depot. You will work closely with operational teams, maintaining accurate records, coordinating administrative activities and acting as the first point of contact for visitors and telephone enquiries.

This is a varied role that offers the opportunity to become an integral part of a professional and collaborative team.


Key Responsibilities

  • Provide comprehensive administrative support to the depot and operational teams.
  • Maintain accurate electronic and paper-based records.
  • Perform data entry and ensure company systems are kept up to date.
  • Produce reports and maintain departmental spreadsheets.
  • Record annual leave, overtime and employee absence records.
  • Coordinate training bookings and maintain training records.
  • Raise purchase orders for PPE, tools and general depot requirements.
  • Process employee expenses in accordance with company procedures.
  • Answer incoming telephone calls and respond to email enquiries professionally.
  • Welcome visitors and provide front-of-house reception support.
  • Manage incoming and outgoing post.
  • Arrange taxis and other travel requirements.
  • Book meeting rooms and coordinate site meetings.
  • Order stationery and office supplies.
  • Support the wider business with additional administrative duties as required.

Essential Skills & Experience

  • Previous experience in an Administration, Office Administrator, Receptionist or Business Support role.
  • Excellent organisational skills with the ability to manage multiple priorities.
  • Strong attention to detail and high levels of accuracy.
  • Good working knowledge of Microsoft Office, including Word, Excel and Outlook.
  • Excellent verbal and written communication skills.
  • Professional and approachable manner.
  • Ability to work independently and as part of a team.
  • Flexible approach with a willingness to support the wider business when required.

Desirable Skills

  • Experience raising purchase orders.
  • Experience processing employee expenses.
  • Previous experience within an engineering, manufacturing, rail or industrial environment.
  • Experience maintaining personnel or training records.

Working Pattern

  • Monday to Thursday.
  • 8-hour shifts.
  • 32 hours per week.
  • Office-based role in York.
