We're seeking a proactive and organised Administrator to support an engineering and manufacturing team within their Field Service Department . This pivotal role ensures smooth operations across service logistics, compliance, and internal coordination.


Key Responsibilities

  • Administrative Support: Provide documentation, reports, and presentation support for the Field Service team.
  • Security & Compliance: Manage airport/CTC pass renewals and coordinate documentation with authorised signatories.
  • Uniforms & Tooling: Order and track Field Service Engineer (FSE) uniforms; maintain tooling asset registers.
  • Equipment & Software Management: Schedule and document X-ray machine maintenance; manage software licences, renewals, and purchase orders.
  • Fleet Administration: Oversee vehicle scheduling, maintenance, and compliance; keep accurate fleet records.
  • Timesheets & Payroll: Collect and process timesheets and overtime requests; support payroll reporting.
  • Office & Data Management: Maintain supplies, contact lists, and databases; support data entry and analysis.
  • Communication & Coordination: Act as key point of contact for internal/external service enquiries; facilitate cross-department communication.
  • Additional Duties: Support service events, meetings, training sessions, and ad-hoc projects.

Experience & Skills Required

  • Proven experience in administrative support, ideally in an engineering or technical environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organisational and multitasking ability.
  • Excellent written and verbal communication skills.
  • High attention to detail and strong problem-solving ability.
  • Ability to work independently and collaboratively.
  • Familiarity with fleet management, timesheet processing, or callout services (desirable).
